The Office Manager is responsible for ensuring the Openfields experience exemplifies our mission, values, and culture and exceeds professional standards. Maintaining our office and space is a collective effort from our team because our space is a reflection of all of us. The Office Manager will serve as a point person to manage and coordinate our team efforts.

Office Management and Administration
  • Review mail and file
  • Manage external office contractors, vendors, and software
  • Maintain and purchase office supplies, snacks, and other necessities
  • Maintain office organization and administrative systems
  • Develop and coordinate implementation of collaborative team systems to maintain
the office (e.g., cleaning schedule, snack requests)
  • Coordinate and maintain the office calendar
  • Oversee furniture procurement and reorganization, as needed
  • Schedule and plan meetings, as needed
  • Oversee printing and mailing needs
  • Proactively identify office needs and strategies to address to keep the company
and teams productive
  • Provide support in other office and administrative tasks to be determined by the
Director of Operations
  • Assist with travel arrangements for team members, as needed
  • Assist with bookkeeping management such as collecting and tracking receipts
for reimbursement

Project and Events Management
  • Assist in the planning and execution of events including arranging catering, securing location, and managing invitations
  • Ensuring a welcoming office environment for visitors
  • Setting up necessary technology and other needs for internal and external meetings
  • Create and modify documents such as invoices, reports, memos, letters or other presentations

  • Comfort working in client facing service environment
  • Detail- and results-oriented team player who is dedicated to getting the job done
  • Initiative and leadership skills used for proactive problem-solving
  • Ability to quickly build deep, trust-based relationships
  • Exceptional attention to detail
  • Strong written and verbal communication skills
  • Ability to handle confidential information

As systems are implemented and established, this role might expand to include additional responsibilities. The Office Manager and Director of Operations will work collaboratively to identify these growth opportunities. Marketing, Advertising and/or Non-Profit Experience a plus, not required. The Office This position will report to the Director of Operations.

  • Part-time employee; 10-15 hours per week (2-3 partial days per week in office)
  • Rate: $17-20hr, depending on experience level
  • Related expenses to be covered by Openfields and / or reimbursed
